MEETING ROOM REQUESTS

Request or Disclose a Meeting

The Metro Toronto Convention Centre (MTCC) and the InterContinental Toronto Centre (connected to the MTCC) offer meeting space that may be reserved during MSToronto2026. Meeting space is available on a first-come, first-served basis, and organizers are encouraged to submit requests through the Meeting Room Request Form as early as possible. Meeting room assignments will be confirmed by email by Friday, May 15, 2026.

All meetings held in conjunction with MSToronto2026—regardless of venue—must be approved by ACTRIMS. Organizers planning meetings outside the MTCC or the InterContinental are required to submit a Disclosure Form and receive approval before promoting or hosting their meeting.

*Late-hour extensions may be accommodated upon request and will be considered a 24-hour rental.

Over the MSToronto2026 dates, meeting rooms are exclusively for internal or invitation-only meetings. Activities that detract from the scientific program are prohibited.

Industry–delegate interactions during official program hours should take place in Business Suites, Executive Suites, or exhibit booths, which are intentionally designed and marketed as the central spaces for engagement. Meeting rooms may not be used as, or in place of, a Business Suite, Executive Suite, or exhibit booth under any circumstances.

For meetings held during the scientific program, attendance is limited to 50 participants. Meetings exceeding 50 participants may only take place outside of the program during the following hours:

  • Wednesday, October 21, 2026: 7:30 – 8:30 AM, 6:30 – 8:00 PM
  • Thursday, October 22, 2026: 7:30 – 8:30 AM, 6:30 – 8:00 PM
  • Friday, October 23, 2026: 7:30 – 8:30 AM

Social activities are not permitted during MSToronto2026 scheduled hours. Please plan any activities for evenings after the last program/event has concluded.

Please note that these restrictions do not apply on Monday, October 19 and Tuesday, October 20.

Meeting space is available at the Metro Toronto Convention Centre and the InterContinental Toronto Centre. Meeting room rental fees will apply according to the following fee structure:

November 20, 2025 – July 31, 2026 August 17, 2026 and after
4 Hours $2,000 $3,000
8 Hours $3,000 $4,000
24-Hour Rate* $6,000 $8,000

*Any room rental required beyond 8:00 PM will be considered a 24-hour hold.
**Any room request requiring 1,200 sq. feet or more may incur additional fees.

A discounted meeting room rental rate is available for nonprofit organizations. A $100 USD fee covers a three-hour rental (inclusive of move-in and move-out time) in a standard meeting room, along with basic audiovisual equipment (screen, projector, and power).

Please note: Room capacity under the nonprofit rate is limited. Requests for larger rooms, additional audiovisual services, or extended hours beyond the three-hour rental may be subject to additional fees based on availability.

  • A limited number of meeting rooms are available to commercial organizations. Sponsorship and/or exhibit commitment are required to reserve space at the Metro Toronto Convention Centre and the InterContinental Toronto Centre.
  • Any direct costs associated with the meeting room (e.g., food and beverage, audiovisual equipment, etc.) are the responsibility of the organizers. Designated vendors must be used for all meetings held at the Metro Toronto Convention Centre and the InterContinental Toronto Centre.
  • Meeting organizers may produce one easel sign, at their own expense, to be placed outside the assigned meeting room displaying the name of the function. Only corporate logos are permitted; no product logos.
  • Additional signage and welcome desks are not permitted in public spaces, including hallways and lobbies. All meeting-related activities must be contained within the meeting room. 
  • Meetings may not be identified as part of the official MSToronto2026 program or endorsed by ACTRIMS and/or ECTRIMS.

Organizations planning to hold a meeting at an offsite venue (other than the Metro Toronto Convention Centre or the InterContinental Toronto Centre) must disclose the details of their meeting and complete the Disclosure Form by Friday, October 2, 2026. Offsite activities may not conflict with MSToronto2026 programming (see restricted meeting times and guidelines above).

Guidelines and fees are subject to change without prior notice. Noncompliance with these guidelines may result in sanctions.
